Operations Assistant

SAADA is a community-based culture change organization working to ensure that South Asian Americans are included in the American story: past, present, and future.

We are seeking an Operations Assistant to join our creative and dedicated team and support the day-to-day operational and administrative needs of our growing non-profit organization.

For the past thirteen years, SAADA has collected, preserved, and shared stories of South Asian Americans, creating the largest publicly accessible archive of our community’s history. SAADA enables and supports community members, including academics, artists, filmmakers, journalists, and students, in creating new content that shapes public understanding about the South Asian American community. This position requires strong interpersonal, organizational, and problem-solving skills and creativity, innovation, and flexibility. The Operations Assistant will report to and be responsible for duties assigned by SAADA’s Executive Director. Examples of tasks the Operations Assistant may perform include, but are not limited to:
• Tracking expenses, basic bookkeeping, and financial reporting
• Handling payments and reimbursements
• Printing and mailing correspondence to donors and other stakeholders
• Scheduling and coordinating meetings and taking meeting minutes
• Answering incoming phone calls and voicemail messages
• Providing customer service related to merchandise and book shipments
• Coordinating travel arrangements
• Organizing and managing internal notes and documents
• Maintaining the physical office space, including office systems and supplies
• Providing general administrative support to ensure efficient operations
• Other duties as assigned to meet the organization’s needs

This position is best suited for a candidate interested in learning about the workings of a growing community-based non-profit organization. This is a job that will not be the same every day. Your work will have a direct and immediate impact on SAADA and the South Asian American community.

• A bachelor’s degree and at least one year of professional experience preferred.
• Superior organizational skills, with the ability to independently prioritize daily activities and meet competing deadlines.
• Demonstrated adaptability and flexibility, as well as a willingness to adjust to job duties as organizational needs dictate.
• Excellent oral and written communication skills.
• Knowledge of Microsoft Word, Excel, and Powerpoint or Google Docs, Spreadsheets, and Slides.
• An ability to pick things up quickly, including software you haven’t used before or a new approach to solving a problem.
• An eye for detail and caring deeply about the quality of your work.

Terms, Salary, and Benefits
This is a full-time exempt position with a salary range of $35,000 - $40,000. Benefits include a health insurance stipend, short- and long-term disability insurance, life insurance, retirement plan with employer match, and paid time off.

SAADA’s office is located at 1900 Market Street, FL 8, Philadelphia, PA, 19103. This position is temporarily remote at least through April 1, 2022. Relocation to Philadelphia will be expected when SAADA’s offices reopen.
